Fables catering planning

Prepare a home, hall or venue brief for wake catering

Fables’ funeral offer discusses gatherings at family homes, village halls and other venues. Each setting needs its actual access, food area and responsibilities considered. Gather what the venue or organiser can confirm and mark the remaining questions. There is no need to present an unfamiliar space as ready for a particular catering arrangement before the providers have reviewed it.

Identify the address and supplier entrance

Give the full venue address, postcode and the entrance suppliers should use. Mention any delivery restrictions or separate access instructions. At a home, explain who can receive the team; at a hall or venue, name the contact holding the relevant information. A postcode alone may not identify the correct door, unloading place or person available to help.

Describe the route and working area

Explain steps, narrow doors, distance from vehicle access and other restrictions known to the organiser or venue. Use a simple sketch or labelled photographs if helpful. Show the proposed food position and ask Fables what space or working arrangements are needed for the chosen menu. Do not infer suitability from an empty room photograph or another event’s setup.

Ask what the setting supplies

List tables, guest settings and any other relevant equipment the venue says it provides. Keep those items separate from equipment or help requested from Fables. Ask which supplies and arrangements are required for the actual proposal. General access to a kitchen or catering area does not, by itself, establish that every supplier requirement or service task is covered.

Show how guests will gather

Explain whether guests are seated, standing and talking or using several areas. Include approximate numbers, the intended food format and the serving time. Mention practical guest needs that affect the arrangement without sending private histories. Ask the venue and Fables to consider the actual food and eating areas together, rather than deciding equipment quantities or layout from a general room capacity.

Allocate the surrounding work

Identify what the organiser, venue and other suppliers will handle before and after the food. Delivery, setup and staffed service can be discussed, subject to venue, location and availability. Ask the quote to identify the proposed help. Keep guest waste, equipment returns and wider cleaning explicit instead of assuming every room-related job comes with the catering.

Keep the final handover clear

Record access for collection or departure, venue closing requirements and the person available at handover. If the food area or programme changes, tell Fables and the venue before the event and ask for review. Keep one current brief with the quotation so the person receiving suppliers can distinguish agreed arrangements from the early ideas used in the first enquiry.

Bring the details together

Send the address, entrance, route observations, food-area sketch, available equipment and intended timetable. Name the venue or organiser contact who can confirm practical details. Ask for the proposed menu, quantity, supplies and service to be recorded in the quotation.
