Fables catering planning

Plan the food time after a funeral or memorial service

The food time needs to fit the arrangements before the reception as well as the venue’s access. Explain the programme you currently have and identify the parts that may change. Fables can discuss a proposed catering arrangement using that information, with the actual serving time and scope confirmed for the booking.

Share the useful programme details

Give the expected end of the preceding service or gathering and the intended reception time. Mention any travel or other commitment that affects when people reach the food. You do not need to send personal information about guests. The useful catering details are the event sequence, expected numbers and the times that matter to the venue and suppliers.

Distinguish estimates from fixed times

Mark which programme entries are confirmed and which remain approximate. Ask the venue about its access and closing arrangements, rather than assuming the room is available throughout the day. An estimated guest arrival and a supplier’s agreed access time are separate facts. Keep both visible so the catering discussion does not rely on an unexplained food time.

Give suppliers their own access plan

Name the person available to receive the catering team and show the entrance and proposed food area. Explain any venue activity happening before the reception. Ask Fables what setup and working arrangements are proposed for the chosen food. Do not assume an organiser will be free to direct suppliers while attending another part of the day.

Connect food format and attendance

Tell Fables whether the food is a buffet, afternoon tea, grazing or canapé starting point and how guests are expected to gather. Include whether people arrive together or gradually. Ask for the menu, quantities and serving arrangement to be considered together. An open gap in a programme does not establish a service duration or guarantee availability for a particular time.

Agree how a timing question is handled

Choose a reception contact who can reach the venue and catering contact if the programme needs discussion. Keep the agreed booking and relevant contact information available to that person. A plan for communication is useful, but it does not promise that every proposed delay or later finish can be accommodated. Ask for the actual arrangement to be confirmed.

Update the connected plan

If the service, travel, venue access or food time changes, send the revised information together. Identify the date of the new programme and ask affected providers to review it. Keep confirmed details separate from requests still awaiting an answer. The person welcoming guests and suppliers should use the same current food and venue arrangement as the person who booked it.

Bring the details together

Send the programme you have, estimated arrival pattern, intended food time and venue access details. Name a contact available during supplier arrival and the reception. Ask for the actual food, service times and responsibilities to be confirmed in the quotation.
