Write a Wedding Cake Design Brief

A cake design brief works best when it explains the details you value and the occasion they need to suit. Fables works with local bakers, so clear preferences give that discussion a useful starting point.

Your inspiration folder is a brief, not the final cake specification. Record the design and practical arrangements that Fables expressly confirms for the booking.

Explain the features you like

Choose a few reference images and explain the feature you like in each: overall shape, texture, colour or a decorative detail. This is more informative than asking for a mixture of several complete cakes without identifying a priority.

Do not assume that every pictured design, finish or component can be supplied. Ask the baker to consider your preferences alongside the event and proposed cake. Keep a particular request visible until it has been accepted in the written design.

Describe the venue and display

State the wedding date and venue, then describe the proposed display setting. Mention whether the cake is intended for an indoor room, marquee or another location so the baker can raise the questions relevant to that plan.

Share the intended backdrop and table position as part of the discussion, not as a final instruction imposed without review. The accepted display and handling arrangements should come from the people responsible for the actual cake and venue.

Prioritise design details

Separate the details that matter most from the ones you are willing to adapt. Exact wording, an important colour or the relationship with other event details may be a priority, while another part of an inspiration image may be optional.

This helps the design discussion remain clear if an alternative is proposed. Ask what is included in the accepted specification rather than expecting every element in a reference photograph to carry into the booking.

Share serving intent and budget

Explain when and how you expect guests to eat the cake and provide the relevant guest estimate. Tell Fables about your budget and any other food being served at that point, then ask the baker to advise on the proposed design and serving plan.

Raise food intolerance requests before booking. Fables caters for agreed food intolerances only and does not cater for food allergies. A request becomes part of the arrangement only after express confirmation; appearance and flavour preferences do not settle dietary suitability.

Record the accepted design separately from inspiration

Keep the accepted design, wording and relevant practical details together with the confirmed proposal. Check any proof for spelling, dates, finishes, components and the specification it is intended to represent.

If your plans change, ask Fables to review the affected detail before replacing the accepted version. Coordinate the cake with other personalised event details using the same approved wording, while retaining each supplier's own confirmed scope.

Your finished planning sheet

  • A small reference set with the valued feature explained.
  • Wedding date, venue and proposed display setting.
  • Essential design details separated from flexible preferences.
  • Serving intention, guest estimate and budget supplied.
  • One accepted design and exact wording kept with the booking.

Questions to settle

Does a reference photograph become the confirmed design?

No. Use it to explain your ideas, then retain the specification and arrangements expressly confirmed by Fables.
