Coordinate Cake Toppers, Stands and Decorations

Small cake details often involve more than one supplier. A topper may come from the couple, a decorative element from another provider and a stand from a separate source.

List those contributions and have the baker confirm how the proposed arrangement fits the actual cake. A photograph or a separate order does not establish that an addition is suitable.

List supplier of each element

Make an item list naming the supplier of the topper, stand and each proposed decorative addition. Mark anything not yet ordered or accepted. Include who brings it to the venue and when it is expected to be available.

Keep supply separate from installation. A florist or designer providing an item does not automatically establish who places it on the cake. Ask the relevant people to agree the division of work before the final venue setup sheet is issued.

Approve topper wording

Write the topper wording exactly as you want it considered, including capitalisation, punctuation and any date. Use one master wording file for details that also appear on signs or other personalised items.

Check the actual proof or specification once it is supplied. Do not treat an informal message as the final approved text if later versions differ. Record which version was accepted and ask how a later amendment would be considered.

Ask the baker about decorative additions

Show the proposed additions to the baker before relying on them in the design. Give useful information from the supplying provider and ask what can be accepted for the cake and display arrangement.

This guide does not tell you which decorations, flowers or materials are suitable for food contact. Those questions belong with the responsible providers and the actual specification. Avoid leaving an unreviewed item for the setup team with an instruction simply to make it work.

Confirm stand and return arrangements

Ask who supplies the stand and whether there are any return or collection arrangements. Keep ownership and practical handover details clear, especially where the stand comes from a different provider from the cake.

Record any agreed return time and responsible person from the actual arrangement. No hire period, deposit or return charge is introduced here. If the proposal does not explain a point that matters, ask for it to be confirmed rather than guessing.

Record the accepted specification

Bring the accepted cake design and the additional-item list together. Check that the wording, quantities, dimensions where supplied and responsibility for placement describe the same final arrangement.

Coordinate related personalised details using the approved master text, while retaining each supplier's separate scope. Give the venue the practical handover information it needs and tell the baker if any proposed item changes.

Your finished planning sheet

  • Every additional item linked to a named supplier.
  • Exact wording checked against the approved master.
  • Baker's acceptance of proposed additions recorded.
  • Stand ownership, handover and returns confirmed where relevant.
  • One final cake-and-decoration specification shared with the venue.

Questions to settle

Can we leave a decoration at the venue and ask anyone to add it?

Have the responsible providers agree suitability and placement first. The actual cake and accepted design determine the arrangement.
