Place the dance floor alongside the DJ, band and LED letters
The evening area is a shared layout: a floor, entertainment equipment, decorative hire and guest movements all use the same room. Put them on one drawing and ask each provider to confirm its requirements. Fables and the venue can then review the selected floor proposal alongside the other items. Keep preferred positions and supplier-approved arrangements distinct until the combined plan has been discussed.
Show the proposed floor and neighbouring items
Mark the proposed floor footprint beside the actual DJ/band and decorative features. Identify the named floor style and proposed size, then mark the DJ or band's position and any LED letters or other large feature. Use the actual event furniture plan as context. Several individually attractive positions may need adjusting when all the hired items appear on the same drawing.
Obtain each supplier's actual requirements
Ask each supplier for its own equipment space and access requirements. Ask the entertainment and decorative providers what they actually bring, what space they need and how access works. Mark information still awaiting confirmation. A promotional image or a broad package name does not establish the footprint and practical arrangement for the suppliers attending your event.
Add guest and service movements
Record guest and service routes without inventing clearance dimensions. Show entrances, seating and the routes people are expected to use, including staff movements where relevant. Ask the venue to review the relationship between those routes and the proposed equipment positions. Do not derive a universal clearance dimension from a different product or event diagram.
Have the combined layout reviewed
Review the combined plan with the venue and floor supplier for the selected style/size. Send the same dated drawing to the venue, Fables and affected providers. Identify positions that remain preferences or open questions. The aim is a combined arrangement the relevant people can confirm, rather than separate approvals based on sketches that place another supplier's equipment somewhere else.
Keep one agreed evening-area drawing
Produce a coordinated evening-area drawing with each supplier’s approval questions. Record the accepted positions and who can approve a later change. When a feature or entertainment setup changes, identify the affected areas before revising the drawing. Give the final event contact a version that matches the agreed floor and supplier arrangements so setup decisions remain traceable.

| Entertainment | DJ or band footprint confirmed by its provider |

Questions about this worksheet
Can we use a standard gap around every item?
Ask each provider for the actual requirements of its equipment and have the combined layout reviewed by the venue. This guide supplies no universal clearance or footprint formula that applies to every floor, band, DJ or decorative arrangement.
What if one provider changes its equipment?
Update the affected footprint or requirement on the shared drawing and ask the relevant people to review the difference. Keep the selected floor, guest routes and other supplier positions connected rather than assuming a replacement fits the previous arrangement automatically.
