Measure the usable space for a dance floor enquiry

The full dimensions of a room do not describe the space left for dancing once furniture and entertainment are placed. Draw the actual proposed layout before asking Fables about available floor sizes. Include the people and equipment using the room and identify measurements still awaiting checking. The drawing supports venue and supplier review; it does not establish a floor size from guest numbers or an empty-room photograph.

Draw the room and fixed features

Record room dimensions and fixed features on a consistent plan. Use a consistent unit and identify the points each measurement connects. Include doorways and permanent features that affect the layout. Mark estimates clearly, and ask the venue about information you cannot confirm rather than copying a dimension from a different room or an old event sketch.

Place furniture and event equipment

Mark dining/seating areas, entrances, service routes and the DJ or band position. Show occupied seating as well as tabletops and explain the room's intended uses. Ask the DJ or band for its actual equipment space. Include other proposed features so the supplier can see the relationship between the dancing area and the rest of the event arrangement.

Mark the proposed dancing area

Identify the remaining proposed dancing area and large features such as LED letters. Label the remaining area as a proposal and explain any fixed preference for its position. A blank patch on a drawing may still need to be reviewed for access, guest circulation or another supplier's work. Keep unresolved layout questions attached to that area for discussion.

Add attendance and style context

Send guest numbers and preferred style as context without applying an invented attendance-to-floor formula. Give Fables the expected guest numbers and the named styles you want considered, but ask for suitable available size options to be reviewed against the actual space. No guest-to-floor formula is supplied here, and attendance alone does not establish the right arrangement for the room.

Send a consistent usable-space drawing

Produce a usable-space drawing for Fables and the venue to confirm available size options. Give the plan a date, relate photographs to its labels and identify the venue contact who can answer questions. When furniture or entertainment positions change, send the revised drawing. Keep the final floor proposal with the layout it was reviewed against so the event team can recognise the accepted arrangement.

Questions about this worksheet

Can an empty-room photograph replace the measurements?

Use photographs to explain the setting, but provide usable dimensions and the actual furniture and entertainment layout. Ask Fables which available floor options can be reviewed against that plan; an image alone does not establish fit.

Should we show LED letters or other decorative hire?

Yes, show their proposed positions and obtain the relevant supplier's actual space and access requirements. The combined room plan should describe all the items competing for the same area rather than treating the dance floor as an isolated rectangle.
