Fables catering planning
Agree the hog roast clearing and equipment handover
A clear end-of-service plan distinguishes the caterer’s own equipment and preparation area from the work around guests and the venue. Fables’ published hog roast offer sets that boundary out: guest waste, bins and venue cleaning remain with the client or venue unless separately agreed. Discuss any additional help explicitly and keep the final handover connected to the programme.
Start with the actual written scope
Read the quotation alongside the published service wording. Identify the food preparation, setup, carving and service that have been agreed, then check how the end-of-service work is described. Ask about anything unclear before assigning it to another organiser. A general phrase about catering or clearing should not be taken to include every task associated with the room, grounds or guests.
Name the owner of guest waste
Ask the venue and organiser who supplies bins, manages guest waste during service and handles the final waste arrangements. Show any agreed locations on the event plan. Keep those responsibilities separate from the catering team’s own equipment and preparation area. If you want an additional supplier task considered, request it specifically and wait for the written agreement rather than assuming it follows from the meal.
Track tableware by provider
List the crockery, cutlery, glasses and serving pieces needed, identifying what comes from Fables, the venue or another hire supplier. Ask who lays, clears and prepares those items for collection. The actual selected menu and service should guide that list. Do not assume a hog roast quotation supplies every item used elsewhere in the event or that all providers have identical return instructions.
Connect clearing with the event timetable
Put the agreed food-service period and the requested clearing handover on the programme. Remember that the published food quantity and service period are separate limits. If the celebration continues after food service, identify who looks after the guest eating area afterwards. The end of one supplier’s booked service does not automatically finish the organiser’s wider responsibilities or extend a team’s working hours.
Keep departure and collection access available
Explain the route suppliers use after service and any restrictions set by the venue. A route used during setup may be occupied by parked vehicles, furniture or guests later. Agree where equipment can be held if collection is separate, and who remains to receive or release it. Have the venue and relevant supplier review the actual arrangement rather than deciding a storage position from a photograph.
Confirm the final contact and changes
Name the person who can receive the handover and knows what remains for the venue or organiser. Give that person the current scope and equipment responsibilities. If the timetable, room use or collection plan changes, tell Fables and the other providers before the event so any effect can be reviewed. Keep the agreed amendment with the latest booking record.
Bring the details together
Send the venue closing requirements, equipment-provider list, guest-waste responsibility and desired handover with your enquiry. Ask any extra help to be expressly included in the quote. Keep departure access, collection instructions and the available event contact on the same final plan.
