Planning table moves and room changeovers

A room used for several parts of an event may need tables moved, cleared or repurposed. That transition is a practical task with a release point, destination and responsible team. Discuss it before confirming hire so the table list and service arrangements reflect how the event changes, rather than only how the room looks when guests first arrive.

Draw the room before and after the change

Prepare separate plans for the dining arrangement and the later use. Identify the tables that stay, move elsewhere, change function or become ready for collection. Include venue furniture so every piece on the drawing has an owner and a purpose. This reveals whether a proposed space is genuinely available for the later activity or still occupied by furniture that has nowhere agreed to go.

Find the point when tables can be released

Ask the organiser, caterer and venue when dining or another activity has finished sufficiently for furniture work to begin. Include clearing dishes, removing decoration and managing guests who remain in the area. A programme heading such as evening reception does not, by itself, release every dining table. Build the transition from the agreed working period rather than assuming it can begin at an announcement time.

Agree clearing and moving responsibilities

Name who removes food, tableware, linens and personal items before the table moves. Confirm who handles the furniture and who checks the new arrangement. Ask Fables to state any moving or additional setup service being requested in the booking. If the venue or your own team is responsible, give it the same plans and timings so the handover does not rely on an unclaimed task.

Confirm the destination and route

Show where moved tables will be used or held, and ask the venue to approve the location and route. Keep guest access and other supplier activity in the discussion. A proposal to move tables aside is incomplete until the actual destination is agreed. Ask what handling or storage instructions apply to the hired items rather than inventing a stacking arrangement or using an area another provider needs.

Connect the changeover to other event work

Tell entertainment, catering and styling suppliers when the room is expected to change and what furniture remains. Check whether their setup depends on the table move finishing first. If activities must overlap, ask the venue and relevant providers to review the practical sequence. Keep the guest-facing programme and supplier working timetable consistent so a change in one is not missed by the people carrying out the other.

Plan collection from the final arrangement

Confirm whether the tables remain in the venue for later collection or leave as part of the clearing period. Name the person who can provide access and ensure hired items are ready as agreed. Update the furniture list if some tables end in a different room from their delivery point. Share any revised clearing deadline with Fables before treating the original collection schedule as sufficient.

Details to gather before enquiring

Prepare the following for the discussion: Before-and-after room plans; Release time after service and clearing; Named clearing, moving and checking team; Approved furniture destination and route; Final collection location and contact.

Questions to settle before booking

Can dining tables become evening buffet tables?

Discuss the two activities, their overlap and the reset work with the caterer and venue. Confirm that the intended tables and location can support the agreed plan. Allocate clearing and repositioning tasks explicitly, and request additional furniture if the first use cannot be released in time.

Is a room changeover included in table hire?

Ask Fables to confirm any moving or additional setup work you need. The quote should identify the agreed service. A table hire booking should not be assumed to provide people for a later room change simply because delivery or initial setup is part of the arrangement.
