Fables catering planning
Plan glassware movement and table clearing
Glassware and table clearing connect guest service with the practical work behind it. Explain which drinks and food services take place, where used items can be left and who supplies the equipment. Then ask for the waiting team’s agreed tasks and hours to reflect that plan. Guest numbers alone cannot describe how the same equipment moves through several parts of an event.
List the drink and meal periods
Separate arrival drinks, the meal, speeches, later drinks and any additional food. Give each period a time and location. Mention whether guests move between rooms or outside, since used glasses may be left away from the main tables. Keep the drinks plan connected with the food programme so clearing from one part of the event does not become an unconsidered task during another service.
Confirm who provides each item
Make one list of glasses, crockery, cutlery and serving pieces, showing whether they come from the venue, caterer, bar or a hire provider. Ask the relevant provider to confirm the actual quantities and arrangements. Do not assume a bar quotation includes glasses laid on dining tables, or that a waiting-staff booking supplies the equipment. Remove duplication only after the responsibilities have been checked.
Define what clearing means for the booking
Say which tables and areas you want cleared, what items should be taken away and when that work is requested. A broad phrase such as clearing tables leaves questions about food, decorations, waste and equipment returns. Ask for the agreed waiting-staff duties to be stated clearly. Keep wider room cleaning and jobs assigned to the venue separate from those specific guest-service tasks.
Provide a suitable used-item destination
Ask the venue and equipment provider where used pieces should be placed and how they should be left. Show that location on the room sketch, together with the route from guest areas. Make sure it remains available when other suppliers arrive or the room changes use. Do not assume a preparation surface or exit route can also serve as an equipment holding area throughout the event.
Discuss turnaround without making assumptions
If the plan depends on equipment being available again later, ask the providers how that arrangement will work and who is responsible for the necessary tasks. Avoid assuming that waiting staff, washing facilities or extra stock are automatically available. Explain the full drinks and meal sequence so the quotation can address the actual requirement rather than an organiser’s unverified plan to reuse the same settings.
Match the clearing plan to the hours
Include the final clearing and handover you want before the team finishes, as well as guest-facing service. The published waiting-staff rate and minimum booking do not establish that every end-of-event job is covered. Ask which duties and working times are proposed. If the programme later extends, tell Fables so any revised service or hours can be considered and confirmed.
Bring the details together
Bring the food and drink programme, equipment-provider list and room sketch together. Identify the clearing you want, the destination for used items and the required handover. Ask the quotation to confirm staff duties and hours alongside the separately agreed tableware arrangements.
