Fables catering planning
Plan waiting staff for a room changeover
A room changeover creates several jobs at the same moment: guests need somewhere to go, equipment must move and the next service must be ready. Explain the change as a sequence of tasks rather than simply asking for staff throughout the event. A useful brief shows what happens before, during and after the room is released, with responsibilities agreed between the venue and suppliers.
Draw the before and after layouts
Show the room as guests first use it and again as it needs to look afterwards. Mark food and drinks positions, tables, chairs, used-item returns and the route between spaces. A simple labelled sketch is more useful than an attractive photograph with no working detail. Ask the venue and relevant suppliers to review the plan; the drawing describes your request rather than confirming that every proposed move can be made.
Identify the people and jobs separately
List each task, including helping guests leave the room, clearing agreed items, moving equipment and preparing the next service. Write down who is expected to do it. Furniture moves, cleaning and catering preparation should not be silently assigned to waiting staff because they happen during the same gap. Fables can discuss the requested staffing roles; the quotation must confirm which duties the proposed team will actually cover.
Give guests a plan during the change
Explain where guests will wait or continue the event and whether drinks or food service is requested there. That can create a second service location while work continues in the original room. Include the route used by staff carrying equipment or used items, and ask the venue to review any conflicts. Avoid a plan that depends on the same person covering two places at once without the arrangement being considered.
Connect the changeover to agreed hours
Put the room-release time, requested ready time and next service on the programme. Include preparation and the final handover when asking about staff hours. The published rate is £33 per hour with a three-hour minimum per team member, but that does not confirm the team or total hours needed for a particular move. Ask the quote to reflect the actual duties, locations and timing.
Resolve equipment and storage questions
Name the people supplying and moving tables, chairs, crockery and other equipment. Identify where used or packed items can wait without blocking the next layout or an exit. If waiting staff are requested to clear or repack anything, confirm the task and the equipment provider’s instructions. Do not assume tableware hire, venue cleaning or all physical moving work is included with a waiting-staff booking.
Agree how a delay is communicated
Nominate an event contact who can discuss a late room release with the venue and suppliers. Decide who tells the team that the room is ready for the agreed work. If the programme changes before the event, send the revised sequence to Fables so staffing can be reviewed. A later meal or an extended celebration does not automatically change the booked duties or staff finish time.
Bring the details together
Send the two room sketches, guest programme, changeover task list and supplier responsibilities with your staffing enquiry. Mark the requested start and finish times, the event contact and the work that still needs confirmation. Keep the final agreed sequence with the catering and venue arrangements.
