Prepare access for dance floor delivery and installation

The space where a floor will be used and the route used to bring it in need to be considered together. Give Fables the actual unloading point, access route and periods when the area is available. Ask about the handling and installation requirements for the particular floor proposed. Keep collection as a separate part of the plan because access after the event may differ from the setup period.

Trace the approach to the floor position

Map the agreed unloading point and route to the proposed room or structure. Start at the entrance the team is expected to use and label the route to the actual room or structure. Add photographs of points that are difficult to describe. A postcode identifies the venue but may leave the correct gate, unloading position and internal route unresolved.

Describe restrictions and access periods

Record gates, doors, steps, surfaces and venue access windows as supplier-review information. Record reliable measurements where available and make approximate or missing details clear. Ask the venue which route may be used at the relevant time. Leave equipment-specific handling and fit assessments to the provider rather than promising access from a doorway photograph or a broad description such as easy entry.

Show when the area becomes clear

Show when the proposed floor area is clear and identify any shared route used by other suppliers. Explain any earlier furniture use or room change affecting the installation space. Name who controls the area and who coordinates other suppliers using the same route. The timetable should show the arrangement for making the position available instead of treating the event start as the only relevant time.

Confirm the actual delivery and collection needs

Ask Fables for the actual handling, installation and collection requirements of the chosen floor. Ask Fables what the selected option requires and which assistance and timings can be agreed. For collection, identify later parking, locked doors or venue-clearance requirements. A requested departure deadline should remain distinct from the collection arrangement actually accepted by the relevant provider.

Issue an access and handover sheet

Create an access/handover sheet without promising a setup time or claiming it fits through a particular opening. Use consistent position labels and retain the accepted instructions with a named contact for each handover. If a gate, route or room use changes, raise the difference before the day. The final receiving person should have the current instructions rather than an early sketch that no longer describes the site.

Area readiness Who clears the proposed position and when
Collection conditions Later access and venue-clearance questions
Handover contacts People controlling the accepted setup and collection route

Questions about this worksheet

Does a clear room guarantee installation access?

Describe both the destination and the route, then ask the provider to confirm the requirements of the selected floor. Doors, steps, approach restrictions and timing can remain unanswered even when the proposed dancing area itself is empty.

Can collection use the delivery plan unchanged?

Review it separately against the site's later conditions, parking, controlled entrances and other collections. Keep the accepted collection window and contact explicit so successful delivery is not treated as confirmation of every end-of-event access arrangement.
