Personal details often appear in more than one place: a welcome board, a table card, an illuminated heart or a cake topper. One checked list and a clear approval process help those separate items feel coordinated.

Create one source for the wording
Write the names, preferred spellings, dates, table labels and messages in a single list. Check that version before sharing it with the people preparing each item. Avoid sending small changes in several separate conversations without identifying the final wording.
If the same name appears on a place card and a display, compare them together. For a business event, keep the approved artwork and brand requirements with the same brief so the person checking the design can refer to the correct material.
Check the design at its actual size
A short message on a lightbox heart has a different job from a welcome board read across a room. Confirm the proposed dimensions and layout for each item, rather than assuming one design can simply be enlarged or reduced.
The published heart option allows up to 32 characters; ask for the final count and layout to be agreed. Check quantities too, especially where table changes or updated guest numbers affect how many items are needed.
Agree who approves and when
Nominate one person to review proofs against the checked list. Ask what the approval process includes and when changes need to be finalised before anything is made. Keep a copy of the approved version with the booking details.
Where another supplier is involved, clarify who provides each part. A cake topper, flowers or display stand may need its own agreement even when the overall style is coordinated. Keep the responsibilities visible in the final plan.
Plan where the finished details will go
Add the positions of welcome signage, table details and illuminated displays to the room plan. Check that guests can read or photograph them without obstructing entrances, working areas or the route through the room.
Agree delivery, collection, setup and any returns for hired items. The design is only one part of the arrangement; a shared timetable and a named venue contact help the approved details reach the right place on the day.
