Plan the venue for your BBQ catering

A useful setup plan connects the cooking position, catering access, guest route and venue rules. Gather those details before finalising the menu and service.

Confirm where cooking and serving are permitted

Ask the venue or landowner to approve the proposed BBQ position and tell Fables about restrictions on cooking, access or operating times. An attractive outdoor space may still have rules that affect the arrangement. Confirm the whole setup with the people responsible for the site before relying on it.

Share the venue postcode and a plan or photographs of the proposed area where helpful. Explain whether food will be served outdoors, inside a building or beside a marquee. Fables will confirm the requirements for the equipment and service agreed for your booking; do not take a universal footprint from a gallery photo.

Check the route and the setup window

Describe entrances, gates, height restrictions, steps, slopes, parking and any loading procedures. Consider how the catering team and equipment will reach the operating position, rather than checking only the guest entrance. Tell us about known obstacles and the times access is available.

Coordinate with other suppliers so the route and serving area are ready when needed. Identify an event contact who can liaise with Fables on the day. If the venue changes an access rule or timetable, raise it promptly so the practical effect can be discussed.

Agree supplies and outdoor-weather arrangements

Electricity is required under the current service terms. Fables confirms the supply requirements for the booked equipment, and the client must arrange a suitable supply at the agreed location and time. Own power can be arranged in advance at an extra charge quoted and agreed in writing.

Any clean-water or other utility needs are confirmed for the particular booking. Discuss weather arrangements with the venue and Fables before the event; moving cooking or service under cover requires agreement. Do not assume a tent, shelter or other item in a photograph forms part of the package.

Plan the guest area and the practical finish

Think about the route guests will take to collect food and return to their eating area. Keep the serving position in the event plan alongside seating, activities and other catering. Tell Fables about accessibility considerations so the arrangement can be discussed with the venue.

Agree who will provide bins and arrange guest-table clearing, venue rubbish collection and waste removal. These are included only when expressly listed in the booking. Request any waiting staff, marquee or other event hire as separate items for availability and pricing, then keep the written responsibilities with the final plan.

Good questions before booking

Your BBQ catering questions.

What size area does the BBQ need?

Send details of the proposed cooking and serving position, access and guest numbers. Fables will confirm requirements for the equipment and arrangement; there is no single footprint established by the photographs.

What if our venue has no electricity?

Tell Fables before booking. Own power can be arranged in advance for an additional charge quoted and agreed in writing. The availability and supply requirements need confirmation for your event.
