How to plan and book your BBQ catering

Move from an initial idea to a written food and service plan, with the menu, venue requirements and booking deadlines clear before the event.

Send an enquiry with the main event details

Start with the date, venue postcode, estimated guest numbers and preferred serving time. Explain the occasion and whether the BBQ will be the main meal or part of a wider food plan. You can enquire while some decisions are still open; tell us which details remain provisional.

Browse the Fable menus or separate BBQ Street Food Menu and include your preferred food. Mention vegetarian or vegan portions, other catering and any access or cooking restrictions. An enquiry begins the availability discussion and does not reserve the date.

Review the quote and confirm the booking

Fables checks the proposed arrangements and prepares a personalised quotation. Review the menu, guest numbers, food provision, service period, setup requirements and extras. Ask questions before accepting so the written plan reflects the event you intend to book.

The booking is secured through written acceptance by Fables and the agreed booking fee in cleared funds. The standard deposit is 50% unless different arrangements are agreed in writing. Follow the quotation and booking documents for your own payment and confirmation details.

Confirm the menu and venue arrangements

Keep the venue involved in decisions about the cooking position, access, setup window, electricity and serving area. Fables will confirm requirements for the equipment and service. Discuss any own-power arrangement in advance, with an additional price agreed in writing where applicable.

The final booking form is normally requested 28 days before the event. Both the completed form and cleared final balance are due 21 days before, unless expressly agreed otherwise in writing. Confirm the menu, portion numbers, serving times and expressly agreed intolerance requirements. Fables does not cater for food allergies.

Use the agreed service window on the day

Nominate an event contact and make the agreed area and supplies available at the setup time. Let guests know when food will be served. The booking provides the agreed quantity of food for up to the agreed service period; service ends when either limit is reached first.

Additional food, extended service, takeaway arrangements and wider clearing or waste removal need express agreement. If something about the venue or timetable changes, tell Fables promptly so the impact can be discussed. Your booking documents and How we work page contain the fuller service terms.

Good questions before booking

Your BBQ catering questions.

When do I send final guest numbers?

Both the final booking form and cleared final balance are due 21 days before the event unless expressly agreed otherwise in writing. Numbers cannot fall below the original confirmed amount; increases require written confirmation of capacity and price.

Does submitting an enquiry confirm the booking?

No. Availability and arrangements must be checked. Written acceptance by Fables and the agreed booking fee in cleared funds secure the booking.
