How to plan evening wedding pizza around your reception

Evening pizza works best when guests know when food is being served and the catering fits into the rest of the reception. Before choosing a serving time, put the evening arrivals, speeches, first dance and venue restrictions on one simple timetable. That gives you and your caterer a clear starting point.

Start with the guests who will eat

Make a separate note of day guests staying into the evening and additional guests arriving for the reception. Share the total you want catered for, alongside the approximate arrival time of the evening group. This is more useful than giving only the number invited to the whole wedding.

Tell Fables whether pizza is the main evening food or one part of a wider food plan. Include any other catering already arranged so the proposed menu and service can be discussed in context.

Give the food its own place in the timetable

Check whether speeches, photographs or the first dance are likely to draw everyone away from the serving area. Agree a food window that guests can actually use, and tell the venue and anyone managing the reception about it. Let guests know the serving times before the evening begins.

Fables provides the agreed food quantity for up to the agreed service period. Service ends when the booked quantity has been served or the service period ends, whichever happens first. Share any expected late arrivals before booking so their needs can be considered within those arrangements.

Connect the serving plan to the venue

Show the proposed horsebox position on a venue plan. Consider the route guests will take from the reception space, the entrance and turning area for the towing vehicle, and any restrictions on delivery or collection. Ask the venue who will provide access at the agreed setup time.

Electricity is required. Fables will confirm the supply needed for the allocated equipment. If it is unavailable, our own power must be arranged in advance, with the extra charge quoted and agreed in writing.

Agree extras before the day

A dessert tricycle or other catering can be included in the enquiry so availability and pricing can be checked together. Additional food, extra serving time and takeaway arrangements also need express agreement; they are not automatic parts of a pizza booking.

Keep the final menu, guest numbers and serving window with your wedding timetable. If plans change, contact Fables promptly so the practical arrangements can be reviewed.

Good questions before booking

Your pizza catering questions.

Should we choose the serving time before enquiring?

An approximate time is enough to start the conversation. Include evening guest arrivals and any fixed venue timings so a suitable service plan can be discussed.

Does booking two hours mean unlimited pizza?

No. Your booking confirms a food quantity and a service period. Service ends when the booked quantity is served or the agreed time ends, whichever happens first.
