A good outdoor BBQ plan starts with the place where the catering will operate. Before booking, check the approach to the site as carefully as the serving position. Share the practical details with Fables and the venue so the proposed menu and service can be reviewed against the real setting.

Get the venue’s permission and restrictions
Confirm that the venue or landowner permits the proposed catering arrangements. Ask about cooking restrictions, setup and collection times, and any limits on where caterers may work. Do not assume that an outdoor lawn, barn courtyard or marquee booking automatically permits every cooking setup.
Send those requirements to Fables before booking. The suitable equipment and operating arrangement must be checked for your event; a menu photograph does not establish a universal footprint, fuel type or equipment model. Keep the venue’s practical requirements with the event plan so everyone can refer to them.
If you are considering two possible serving areas, send details of both. Check permission, access and utilities for each rather than assuming one approved position makes the other suitable. Ask for any change to the confirmed setup to be reviewed before the event.
Check the whole route to the serving position
Describe the entrance, gates, drive, bends, parking and proposed unloading route. Mention steps, narrow access, soft ground or other restrictions. A postcode alone may lead to the main building rather than the entrance the catering team needs, so mark the correct route on a plan if the venue has several approaches.
Ask who will open gates and provide access at the agreed setup time. If the access route is shared with guests, deliveries or another supplier, raise that early. Fables can then discuss whether the proposed arrangement is suitable rather than discovering a restriction when setup is due to begin.
Agree utilities at the operating location
Electricity is required under the current Fables service terms. Fables will confirm the supply requirements for the booked equipment. Tell us where the connection is and whether the venue has restrictions on its use. Do not assume a supply inside the main building is suitable for a separate outdoor operating position.
If electricity is unavailable, own power must be arranged with Fables in advance, with the extra price quoted and agreed in writing. Clean-water or other utility requirements are confirmed for the particular booking. If guest-food card payments or other services needing Wi-Fi are planned, discuss the connection separately; providing power does not provide Wi-Fi.
Plan guests, weather and clearing together
Consider the route guests will take to collect food and return to their seats. Keep entrances and important access routes clear. Ask the venue about suitable arrangements if conditions change, and share any proposed alternative serving position with Fables before relying on it.
Confirm who provides bins and handles venue rubbish. Guest-table clearing, waste collection and removal are included only where expressly listed. Put the agreed serving position, access contact, utilities and any confirmed alternative arrangements in one final venue note. Tell Fables promptly if that plan changes.
Your BBQ catering questions.
Can a venue photograph confirm that the setup will fit?
Photographs can help explain the position and access route, but they do not replace the venue information or Fables’ confirmation. Include dimensions or restrictions where known and ask us to check the proposed arrangement.
